About the Role:

We are seeking a highly organised and detail-oriented Recruitment Support Specialist to join our dynamic team at WizeTalent.

This role is essential in ensuring a smooth and efficient recruitment process by providing administrative and operational support. The ideal candidate will help power our recruitment efforts by ensuring every step of the hiring process runs smoothly and efficiently. From scheduling interviews to maintaining our talent systems and communicating with candidates and clients, you'll play a key role in creating seamless, world-class hiring experiences for both our clients and their future team members.

Key Responsibilities:

  • Prepare proposals and documents using PandaDoc
  • Conduct the first candidate interview
  • Coordinate and schedule candidate interviews across various time zones
  • Maintain and update applicant tracking systems (ATS) and internal trackers
  • Post job openings to internal and external job boards and platforms
  • Support recruiters in candidate sourcing and initial screening efforts
  • Communicate with candidates to confirm interview details and follow-ups
  • Assist in the preparation and distribution of recruitment-related documents (e.g., interview guides, offer letters, contracts)
  • Monitor candidate pipelines and provide regular recruitment status reports to clients
  • Facilitate reference checks, integrity analysis, role alignment and skills assessments
  • Conducting onboarding sessions with clients
  • Provide general administrative support to the recruitment team

Requirements:

  • Proven 3+ years of experience in an administrative or HR support role (recruitment experience preferred)
  • Strong organisational and multitasking skills
  • Excellent written and verbal communication skills
  • High level of attention to detail and accuracy
  • Ability to handle confidential information with discretion
  • Team-oriented and customer-service focused approach
