Position: Executive Assistant
Supports: Business Owner, President/CEO and additional 4 managers
Work Location: Remote, Must reside in Metro Manila or Davao City
*May be required to report onsite occasionally
Schedule: US Hours, Night shift, Overtime
Primary Job Duties/Responsibilities:
- Responsible for managing complex scheduling, logistics, strategic communication, and providing project and administrative support.
- Efficiently prioritize appointments, meetings, and limited travel arrangements, including coordinating travel, transportation, meal reservations, and preparing itineraries.
- Support the executive by tracking project timelines, coordinating with stakeholders, and maintaining progress reports.
- Draft memos, correspondence, and reports, ensuring clarity and professionalism in all written and verbal communication.
- Prepare and edit correspondence, communications, and presentations as needed.
- Conduct research and compile data for reports.
- Assist with special projects as assigned.
- Maintain confidentiality of sensitive information.
- Collect and maintain files, as well as comprehensive and accurate records.
- Provide administrative support, including typing, spreadsheet creation, faxing, and maintaining filing systems and contacts database.
Job Specifications (Experiences & Skills):
- Proficient user of Google Workspace and Microsoft Office Suite.
- Three (3) years relevant experience coordinating logistics, managing timely deliverables, and handling multiple priorities simultaneously.
- Excellent communication skills, both oral and written, with the ability to build positive working relationships.
- Ability to interact effectively with owners or senior management of small businesses, as well as administrative staff.
- Adaptable to changes and unafraid of challenges.
- Ability to multitask and prioritize tasks.
- Comfortable working remotely and managing time effectively.
- Strong organizational, problem-solving, attention to detail, and time-management skills.
- Ability to balance the importance of discretion, diplomacy, and tact in sensitive situations while maintaining a good sense of humor.
- Proactive approach in anticipating challenges and finding solutions.
- Effective communicator with a strong command of the English language, both written and verbal.
- Organizational prowess demonstrated by creating order and efficiency.
- Competency with scheduling management systems and email systems administration.
- Ability to navigate a high-pressure, fast-paced environment, handle confidential information, and coordinate seamlessly with a broad set of stakeholders.
- Strong team collaboration skills and ability to effectively manage-up as needed to help efforts move forward.

Pay: Php100, Php150,000.00 per month
