Purchasing & Assets Assistant (Remote – Night Shift)

Work Setup: Remote

Schedule: 8:00 AM – 5:00 PM MST (10:00 PM – 7:00 AM Philippine Time)

Type: Full-Time

About the Role

We are seeking a detail-oriented and proactive Purchasing & Assets Assistant to support our procurement and asset management functions. This role involves coordinating vendor communications, managing equipment reporting, ensuring smooth purchasing and payment processes, and assisting in supplier sourcing and RFPs.

Key Responsibilities

Equipment Reporting & Analysis

  • Receive and log reports of malfunctioning assets (e.g., refrigerators, equipment).
  • Verify warranty status and manufacturer coverage.
  • Maintain accurate records of equipment issues and resolutions.

Vendor & Repair Coordination

  • Coordinate with technicians and internal teams to track repair progress.
  • Evaluate repair vs. replacement options for cost-effectiveness.
  • Generate reports in line with manufacturer and company guidelines.

Purchasing & Expense Management

  • Create and process purchase orders in line with Procure-to-Pay procedures.
  • Record and reconcile expenses (repairs, replacements) using company Amex card.
  • Process vendor invoices and ensure timely payments.

Supplier Sourcing & Procurement Support

  • Identify and evaluate new vendors to expand supplier options.
  • Prepare and issue Requests for Proposal (RFPs).
  • Request, review, and compare vendor quotes for best value.
  • Maintain and update vendor information.

Administrative & Continuous Support

  • Maintain open communication with reporting parties until resolution.
  • Track technician updates and escalate delays when needed.
  • Contribute to improving asset tracking and reporting processes.

Qualifications

Must-Haves

  • Proficiency in spoken and written English.
  • Strong analytical, negotiation, and problem-solving skills.
  • Ability to prioritize tasks with urgency and accuracy.
  • Proficiency with MS Office (Excel required); ERP systems preferred.

Nice to Have

  • Proficiency in spoken Spanish.
  • Prior experience in purchasing, procurement, or asset/facilities management.
  • Knowledge of supplier relationship management, RFPs, and cost analysis.
