JOB SUMMARY

The Customer Support Administrator (Non-Phone Based) is responsible for providing accurate, efficient, and timely administrative support to the customer service function, focusing on email communication, order processing, data management, and documentation.

This role ensures smooth handling of customer requests and internal support tasks without direct phone contact, working closely with the Customer Service Team Leader and other team members to deliver high-quality outcomes.

WHAT YOU'LL DO

  • Process customer orders, quotes, and returns in SAP Business One with accuracy and attention to detail.
  • Manage and respond to customer enquiries via HubSPot, ensuring all responses are professional, timely, and solution-focused.
  • Maintain accurate records of customer interactions, updates, and orders in HubSpot.
  • Review and validate order details, product codes, pricing, and stock availability before processing.
  • Prepare and send order confirmations, shipping updates, and related documentation to customers.
  • Support the Customer Service team with back-office tasks, including credit requests, warranty claims, and delivery coordination.
  • Work with the operations team to ensure accurate dispatch of goods and resolution of fulfilment issues.
  • Maintain up-to-date knowledge of Novis products, processes, and policies to ensure accurate information is provided.
  • Identify and escalate issues that require further investigation to the Senior Customer Service Administrator or Team Leader.
  • Contribute to process improvement initiatives for email and administration workflows.

REQUIREMENTS

  • Proficient in SAP Business One and HubSpot (training provided if required).
  • Excellent written communication skills with a strong focus on professionalism and clarity.
  • Highly organised with superior attention to detail and accuracy.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Strong data entry and record-keeping skills.
  • Positive, proactive attitude and commitment to continuous improvement.
  • Ability to work independently and as part of a team.
