Job Description

As a Finance & Bookkeeping Assistant, you will support financial operations across several automotive and retail service brands. You'll handle invoicing, reconciliations, contract updates, collections support, reporting activities, and structured coordination with Australian finance teams. Your work directly contributes to accurate records, smoother customer experiences, and strong operational integrity.

The Qualifications We Seek

• 1-3 years of experience in accounting, finance, or administrative support roles.
• Experience using Xero or similar accounting software preferred.
• Familiarity with accounts receivable/payable, reconciliations, and collections.
• Basic understanding of financial principles, business accounting, and recordkeeping.
• Experience using CRM systems (e.g., Zoho) and digital payment platforms is an advantage.
• Ability to speak Portuguese is a plus but not required.

• Organized, reliable, and able to follow structured processes.
• Strong written and verbal communication skills.
• Proficient in Microsoft Excel and comfortable using multiple systems.

Working Environment

• Remote position collaborating regularly with Australian teams.
• Daily communication with the Finance and Accounting Officer.
• Involves structured workflows, reporting deadlines, and use of tools such as Xero, Zoho, and integrated payment systems.

Your Daily Tasks

Accounts Support & Data Entry

• Enter and maintain accurate financial data in Xero, including contact information, invoices, and recurring payment schedules.
• Prepare or update customer invoices and payment plans based on approved changes or upgrades.
• Process dishonor fees, administrative charges, and adjustments to customer accounts.
• Maintain and update inter-company transactions and ensure reconciliations align across all entities.

Banking & Reconciliations

• Assist with daily and monthly bank reconciliations, ensuring accuracy between Xero, payment platforms, and business records.
• Confirm receipt of customer deposits and match them to contracts or dealership arrangements.
• Support inter-business transfers, ensuring related entries are properly recorded and balanced.
• Flag inconsistencies or unreconciled transactions for investigation.

Customer Finance & Contract Administration

• Maintain payment schedules and update contract changes in Zoho CRM and Xero.
• Assist with setup and updates for new finance or B2B arrangements.
• Support registration and discharge of PPSR under direction.
• Maintain and update contract tracking tools to ensure data accuracy.

Collections & Customer Support

• Prepare and update collections trackers and reports.
• Log follow-up notes, outcomes, and next steps with accuracy.
• Process overdue fee invoices and assist with customer follow-ups.
• Maintain complete and compliant collection records.

Accounts Payable & Payroll Assistance

• Record and process supplier invoices and accounts payable entries.
• Support payroll preparation and expense tracking.
• Verify deposit confirmations and dealer or procurement invoices.

Reporting & Compliance Support

• Assist in preparing month-end and year-end reports and reconciliations.
• Maintain fixed asset and depreciation records as directed.
• Support audits and compliance documentation.
• Ensure all financial data meets company policy and privacy standards.

General & Ad Hoc Tasks

• Assist in ad hoc reporting and administrative projects.
• Identify opportunities for process improvement or automation.
• Provide backup support to operations and customer service teams when needed.
