Job Description
As an Admin & Executive Support Assistant, you will provide vital support to the Operations Manager and leadership team, ensuring efficient operations and smooth collaboration across departments. Your organizational expertise and proactive mindset will help drive the success of the entire team in achieving its mission.

The Qualifications We Seek
- 5 years of relevant experience in administration within a dynamic, multi-stakeholder environment.
- Excellent interpersonal, communication, and time management skills.
- Strong organizational skills with attention to detail and initiative.
- Ability to prioritize and achieve outcomes independently.
- High level of professionalism and confidentiality.
- Advanced proficiency in Microsoft Office Suite.

Your Daily Tasks
Document, Files, and Systems Management
- Maintain an effective file management system in MS Teams.
- Format, edit, and layout docu
- ments using MS Word, PowerPoint, and Excel.
- Create and manage templates and agendas for Board, Senior Leadership, and staff meetings.
- Maintain asset registers and professional development cost trackers.
Operations Management
- Manage travel, meetings, and events.
- Assist in finance tasks such as expense processing, purchase orders, and vendor coordination.
- Support People & Culture with onboarding/offboarding through HRIS (Employment Hero).
- Assist the Marketing team with scheduling posts and updating the website.
Service Improvement
- Collaborate with teams to meet KPIs and enhance performance.
- Ensure confidentiality, quality, and compliance with all organizational standards.
- Promote a harmonious, safe, and efficient remote working environment.
