ABOUT THE ROLE

The Scheduling Coordinator will support the firm's resource management and scheduling operations. This individual will help assist with the coordination and support of managing client service team schedules.

WORK SCHEDULE: US PST hours

POSITION TYPE: Full-time, night shift 7:30am – 4:30pm US PST

WORK ARRANGEMENT: Remote

YOUR MISSION
  • Assist in the management of the firm's project and resource scheduling

  • Coordinate and monitor project assignments to ensure proper allocation of team resources

  • Update schedules in real time as priorities shift and projects evolve, using judgment to flag follow-up items

  • Collaborate with relevant stakeholders to confirm staffing needs, availability, and timing

  • Assist with analyzing utilization, capacity, and scheduling reports

  • Identify and flag scheduling conflicts, workload imbalances, or timeline risks early

  • Assist with data accuracy, reporting, and analytics related to scheduling

  • Communicate scheduling updates to stakeholders clearly and promptly

  • Provide administrative support for operational initiatives as needed

PREFERRED SUPERPOWERS
  • Comfortable working independently in a remote setup and aligning with US PST night shift hours

  • Bachelor's degree in business administration, operations, accounting, or related field

  • Minimum of 5 years of professional experience in a related resource management role

  • Experience working in a professional services environment preferred

  • Strong organizational and time-management skills, with the ability to manage multiple priorities

  • Tech-savvy, detail-oriented, and comfortable learning new systems quickly

  • Self-directed, able to work with minimal supervision, and proactive in problem-solving

  • Excellent English verbal communication and writing skills

  • Analytical mindset with the ability to interpret scheduling data and identify trends

  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) required

  • Strong familiarity with scheduling and project management tools — Asana, Forecast, and Harvest
