About the role

We are looking for an experienced Import Coordinator to join the team at Corporate Resources Group (CRG) Services Corp. in our Santolan Pasig City Metro Manila office. As an Import Coordinator, he/she is responsible for managing and coordinating all activities related to the importation of goods. This includes ensuring compliance with customs regulations, preparing and reviewing shipping documentation, monitoring shipments, and collaborating with suppliers, freight forwarders, and internal departments to ensure timely and cost-effective delivery of products.

What you'll be doing

  • Prepare, review, and process import documentation (invoices, bills of lading, packing lists, certificates of origin, etc.).

  • Ensure compliance with international trade laws, customs regulations, and company policies.

  • Classify goods according to HS codes and determine applicable duties and taxes.

  • Track and monitor shipments to ensure on-time delivery.

  • Liaise with customs brokers, freight forwarders, carriers, and suppliers.

  • Maintain accurate records of all import activities for audit and reporting purposes.

  • Resolve issues related to shipments, customs holds, or discrepancies in documentation.

  • Identify opportunities to reduce costs and improve efficiency in import processes.

  • Stay updated on changes in trade laws, tariffs, and customs procedures.

Internal Coordination

  • Coordinate and collaborate closely with the Technical and Research Development (TRD), Material Resource Planning (MRP) and Finance Departments to ensure timely delivery of goods;

  • Prepares Purchase Orders and submits to the approving officer based on LOA

  • Prepare requests for payment based on the agreed payment terms and provide funding forecast to Finance Department for both vendor payables and Estimated Duties and Taxes;

  • Responsible for maintaining and recording all Purchase Orders in the system and relevant documents for all processes;

Internal Coordination

  • Coordinate and collaborate closely with the Technical and Research Development (TRD), Material Resource Planning (MRP) and Finance Departments to ensure timely delivery of goods;

  • Prepares Purchase Orders and submits to the approving officer based on LOA

  • Responsible for maintaining and recording all Purchase Orders in the system and relevant documents for all processes;

External Coordination

  • Monitor shipments and coordinate with sourcing, logistics, and customs to ensure timely arrival of goods;

  • Process the lodgment and coordinate with TRD regarding permit application including but not limited to Certificate Authorizing Importation of Pesticide (CAIP), Authority to Release Imported Goods (ATRIG), and VAT Exemption;

  • Review all shipping documents to ensure accurate and parallel details prior to assigning broker;

  • Determine and assign broker for specific shipment/item; ensure good broker pricing and service;

  • Communicate with brokers. Forwarders, and BOC as needed;

  • Responsible for sourcing, validating and auditing brokers and logistics vendors;

  • Measure parameters of brokers and forwarders based on agreed KPIs and

arrange periodic review to address performance gaps;

Reporting


• Maintain report and process documents to execute Purchase Requests;


• Prepare regular reports such as Import Status Reports, Import and Finance Reports, Business Unit Import Reports, Broker Reports;


• Prepare Demurrage Analysis with Root Cause Analysis (RCA) and Action Plan due every 10th of the month;


• Prepare reports on number of containers per Business Units processed (planned vs. actual), compliance with required Estimated Time of Arrival (ETA), Root Cause Analysis (RCA) and Action Plans


• Prepare report on Project Status (ex. Brokers bidding, documented Policies and Procedures of Imports Releasing, etc.)

Compliance

  • Manage and coordinate the importation of goods and ensure compliance with all government regulations related to importation;

  • Monitor and report changes in regulations that may affect shipment of goods;

  • Ensure that all items for importation have corresponding regulatory permits prior to booking;

  • Performs other duties and responsibilities as assigned from time to time.

What we're looking for

  1. Minimum 2 years of experience in an import coordination or logistics role, ideally within the manufacturing, transport, or logistics industries
  2. Thorough understanding of import regulations, customs procedures, and documentation requirements
  3. Strong attention to detail and problem-solving skills to identify and resolve issues quickly
  4. Excellent communication and interpersonal skills to liaise effectively with a range of stakeholders
  5. Proficient in using relevant software and IT systems, such as enterprise resource planning (ERP) and customer relationship management (CRM) tools
  6. Ability to work well under pressure and meet tight deadlines
