We are looking for a highly organized, discreet, and proactive Executive Assistant & Recruiter to support our President/CEO and Recruitment in both executive and personal capacities, while playing a key role in growing our talented team.
Position Overview:
This hybrid role combines executive-level support with recruitment responsibilities, offering a unique opportunity to partner closely with the CEO while contributing to the company's talent acquisition efforts. The ideal candidate is a trusted, detail-oriented professional with exceptional multitasking abilities, strong communication skills, and a passion for recruiting top talent.
Key Responsibilities:Executive Assistant Support (Business & Personal)
- Manage the CEO's calendar, schedule meetings, and prioritize appointments to optimize time management.
- Screen and respond to emails, calls, and correspondence on behalf of the CEO as appropriate.
- Prepare reports, presentations, and documentation for meetings and projects.
- Coordinate virtual meetings including agenda preparation, minute-taking, and follow-up tracking.
- Monitor action items and deadlines to ensure timely completion.
- Handle confidential records and sensitive information with the utmost discretion.
- Coordinate personal appointments, travel, errands, and special requests while maintaining clear boundaries between professional and personal support.
- Book travel and accommodations for business and personal trips as needed.
- Serve as a liaison between the CEO and internal/external stakeholders, fostering smooth communication and collaboration.
Recruitment & Talent Acquisition
- Collaborate with hiring managers to identify staffing needs and craft compelling job descriptions.
- Source candidates through multiple channels including job boards, social media, networking, and referrals.
- Conduct initial candidate screenings and video interviews to evaluate qualifications and cultural fit.
- Manage and maintain the applicant tracking system (ATS) with accurate candidate records.
- Ensure a positive candidate experience with timely and clear communication throughout the hiring process.
- Stay current on industry hiring trends and recruitment best practices to continuously improve processes.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Assistant, or Recruiter (hybrid roles preferred).
- Strong organizational skills with the ability to manage competing priorities efficiently.
- Excellent written and verbal communication skills.
- High level of discretion and professionalism in handling sensitive information.
- Comfortable using virtual meeting platforms, ATS systems, and Microsoft Office or Google Workspace.
- Self-motivated and able to work independently in a remote environment.
- Detail-oriented with strong problem-solving abilities.
- Experience in recruiting or talent acquisition is highly desirable.
