Job Description: Accounts Payable (AP) Clerk

Position Overview:

We are seeking a detail-oriented and organized Accounts Payable (AP) Clerk to join our finance team. The ideal candidate will be responsible for ensuring accurate and timely processing of invoices, maintaining financial records, and supporting overall financial operations through account reconciliation, journal entry preparation, and financial analysis.

Key Responsibilities:

  • Invoice Processing: Accurately receive, verify, and process supplier invoices, ensuring timely payment in accordance with company policies.
  • 3-Way Matching: Perform 3-way matching of purchase orders, receipts, and invoices to ensure accuracy and prevent discrepancies.
  • Journal Entry Preparation: Assist in the preparation and posting of journal entries as part of month-end and year-end closing activities.
  • Account Reconciliation: Reconcile AP sub-ledger to the general ledger and resolve discrepancies in a timely manner.
  • Balance Sheet Management: Support the maintenance and accuracy of AP-related accounts on the balance sheet.
  • Financial Analysis: Assist in analyzing expenditures and identifying trends or inconsistencies in AP data.
  • ERP System Use: Utilize ERP systems for invoice entry, approvals, reporting, and reconciliation. Experience with ERP platforms is essential.
  • AP Process Management: Contribute to continuous improvement of the AP process, maintaining compliance with internal controls and accounting standards.

Qualifications:

  • Proven experience as an Accounts Payable Clerk or similar finance role
  • Strong understanding of the full AP cycle, including 3-way matching and reconciliation
  • Proficiency in using ERP systems (e.g., SAP, Oracle, NetSuite, etc.)
  • Basic understanding of financial statements, particularly the balance sheet
  • Familiarity with journal entries and general accounting principles
  • Strong attention to detail and high level of accuracy
  • Excellent organizational and time management skills
  • Proficiency in Microsoft Excel and other financial software
  • Associate or Bachelor's degree in Accounting, Finance, or related field preferred
