The HSSE Administrative Support Officer provides essential administrative and operational support to the HSSE Team. The role ensures efficient management of duty rosters, reporting, procurement, and documentation while maintaining compliance with company policies and government regulatory requirements. The officer also supports day-to-day team coordination and vendor management to enable smooth execution of HSSE programs.

Key Responsibilities:

  1. Duty Roster & Coordination

  2. Manage and update the IMT duty roster and schedules.

  3. Send invitations for weekly duty handovers.
  4. Facilitate weekly HSSE team meetings.

  5. Procurement & Invoicing

  6. Create Work Orders and Service Entries in SAP.

  7. Process invoices and ensure timely submission of expense accruals.

  8. HSSE Reporting & Documentation

  9. Collect and prepare HSSE data and KPI reports.

  10. Maintain HSSE files in SharePoint and update regulatory reports.
  11. Support DOE/DOLE, PNP, and other compliance reporting.

  12. PPE & Supplies Management

  13. Process and monitor PPE requests and inventory.

  14. Manage HSSE-related orders (tokens, SOCards, hotels, etc.).

  15. Compliance & Monitoring

  16. Track Goal Zero Achievers and HSSE tokens.

  17. Ensure compliance with internal policies and regulatory requirements.
  18. Submit necessary documents and reports for legal compliance.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or related field.
  • At least 1-2 years of experience in administrative support, preferably in HSSE, compliance, or safety-related functions.
  • Proficiency in SAP, Microsoft Office Suite (Excel, Word, PowerPoint), and SharePoint.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Ensures accuracy in reports, data, and compliance submissions.
  • Clear and professional communication with internal teams and external vendors.
  • Problem-Solving: Proactive in identifying gaps and providing solutions.
