We are seeking an Executive Assistant who can provide high-level support to executives while also assisting with graphic design tasks. The role involves a mix of calendar and email management, document formatting, and creating professional diagrams based on client input for proposals, tenders, and reports.
Qualifications
- Bachelor's degree in any field
- Experience in executive assistance and graphic design (or similar roles) highly preferred
- Excellent written and verbal communication skills in English
- Strong skills in document formatting, visual presentation, and branding
- Proactive, reliable, and detail-oriented
- Experience working with Australian clients or familiarity with Australian business culture preferred
Key Responsibilities
- Create professional diagrams and visual materials based on client-provided drawings
- Prepare proposals, tender documents, and client reports
- Manage the Director's calendar, meetings, and appointments
- Format and produce professional documents, presentations, and templates
- Monitor inboxes and manage routine correspondence
- Coordinate with clients on reminders, onboarding, and follow-ups
- Maintain digital files, templates, and SOP documentation
- Support tender submissions by pre-filling compliance and experience details
- Manage and update client LinkedIn accounts professionally
- Assist with event coordination and attendee communications
- Develop a growing library of designed diagrams and templates
- Deliver high-quality reports and materials that meet branding standards
