Quick Rundown:
We are seeking a highly organized and proactive Executive Assistant with strong operations management experience and demonstrated proficiency in AI tools and automation. The ideal candidate will serve as a strategic right hand to the executive team-enhancing productivity, streamlining workflows, and ensuring operational excellence. Experience in business development is a strong plus, as this role will also support initiatives to grow partnerships, optimize client engagement, and drive efficiency across the organization.
What You'll Do:

Provide high-level administrative support to the executive team, including scheduling, travel coordination, communications, and confidential correspondence

Streamline and optimize internal operations, leveraging AI and automation tools (e.g., ChatGPT, Notion AI, Zapier, or similar) to improve efficiency and decision-making

Manage and track key projects, deliverables, and timelines, ensuring alignment with company goals

Prepare presentations, reports, and data summaries to support executive decision-making

Coordinate cross-departmental initiatives, ensuring clear communication and accountability

Conduct research and assist with business development efforts, including prospecting, partnership outreach, and client follow-ups

Maintain accurate records, documentation, and databases related to operations and business development activities

Anticipate needs and proactively identify opportunities to support leadership effectiveness
What We're Looking For:

Bachelor's degree in Business Administration, Operations Management, or a related field preferred

5 years of experience as an Executive Assistant, Operations Manager, or similar role in a fast-paced environment

Proven experience implementing or managing AI tools and automations to enhance productivity

Strong understanding of business operations, systems, and workflow optimization

Excellent written and verbal communication skills

Highly organized, detail-oriented, and able to manage multiple priorities with discretion

Proficient with productivity platforms such as Google Workspace or

Business development experience or exposure to client relations and partnership management is a plus
