Roles and Responsibilities
- Provide high-level executive support to managers, ensuring they stay aligned with strategic priorities
- Manage schedules, meetings, communications, and travel with precision
- Relay key messages and ensure follow-up on action items between stakeholders
- Handle company credit card reconciliation and financial admin tasks
- Coordinate events, team meetings, agendas, and track action items
- Ensure the office environment is professional, organized, and welcoming
- Assist with onboarding and workstation setup for new team members
- Provide general admin support across departments as needed
Required Experience
- Executive assistant or operations support role within a corporate setting
- Managing confidential information with integrity and discretion
- Handling high-level communication and cross-functional coordination
- Managing executive travel and calendar scheduling
- Preparing agendas, meeting minutes, and follow-up tracking
- Experience coordinating office operations and interacting with external stakeholders
Minimum Qualifications
- Proficient in Microsoft Office Suite (Outlook, Word, Excel)
- Familiarity with tools like Jobpac, Procore, OneNote
- Strong time management, prioritization, and attention to detail
- Exceptional written and verbal communication skills
- Ability to work autonomously and adapt to dynamic environments

- A proactive, flexible approach to supporting leaders and teams
- Strong relationship-building skills with internal and external stakeholders
- Supporting multiple executives or managers simultaneously
Proficient With
- Microsoft Outlook, Excel, Word
- Project and communication tools (Jobpac, Procore, OneNote)
- Calendar and travel management systems
- Document formatting and business correspondence
Experience Advantage
- Prior experience in a construction, engineering, or project-based business
- Experience with onboarding coordination and office management
- Familiarity with executive-level reporting, project updates, and KPIs
