Job Title: Executive Assistant – Rehab & Renovation Managers (US Market)

Team Outsource is hiring a full-time Executive Assistant to support our client's Rehab and Renovation Managers in the US. We are seeking a highly organized and detail-oriented individual who can effectively manage multiple priorities and ensure seamless day-to-day operations.

Role Overview

The Executive Assistant will serve as the right hand to the US-based Rehab and Renovation Managers, ensuring seamless day-to-day operations. You will handle scheduling, communications, project coordination, vendor follow-ups, and administrative tasks to keep renovation projects on track and within budget.

Key Responsibilities

  • Provide high-level administrative support to Rehab and Renovation Managers in the US.
  • Manage calendars, coordinate meetings, and schedule site visits.
  • Prepare and maintain project documentation, contracts, and reports.
  • Track project progress, timelines, and budgets; follow up with contractors and vendors.
  • Communicate with property owners, tenants, and suppliers on behalf of the managers.
  • Conduct research for materials, cost estimates, and vendor sourcing.
  • Monitor permits, compliance requirements, and renovation milestones.
  • Draft and proofread correspondence, proposals, and progress updates.
  • Handle confidential information with discretion and professionalism.
  • Perform other administrative and operational tasks as needed.

Qualifications

Required:

  • Proven experience as an Executive Assistant or similar role in the US real estate, construction, or property management industries (required)
  • At least 2 years' experience supporting Rehab Managers and/or Renovation Managers in the US market.
  • Strong understanding of renovation project workflows, timelines, and vendor coordination.
  • Excellent verbal and written communication skills in English.
  • Proficiency in Google Workspace and Microsoft Office tools.
  • Highly organized with exceptional attention to detail.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.

Preferred

  • Experience using project management software (e.g., Asana, Trello, ).
  • Knowledge of US building permit processes and renovation compliance requirements.
