Senior Executive Assistant

Job Description:

  • Understand the importance of managing very sensitive personal, internal and client information
  • Managing emails and preparing replies to all emails for the Managing Director
  • Arranging emails into priority of urgency and helping to ensure they are replied to in a timely manner
  • Helping to provide business oversight but monitoring the teams and associated deliverables for the key team in each business
  • Following up on clients, lawyers and other advisors on deliverables
  • Ensuing all tasks that need to be done by the Managing Director are managed and done
  • Escalating key deliverables to the Managing Director - even via a phone message and call if needed
  • Manage executive schedules, appointments, For the Managing Director
  • Managing Travel arrangements for the key executive teams in the businesses. Helping to research corporate travel options for best service and price.
  • Managing personal travel for the Managing Director and his family.
  • Prepare and organize correspondence, reports, and meeting materials.
  • Managing company compliance (under the AFSL), insurances and legal deliverables
  • Coordinate meetings, take minutes, and follow up on action items.
  • Support communication between the executive team and internal or external stakeholders.
  • Maintain well-organized filing systems for record management.
  • Ability to transcribe emails, minutes, documents from voice calls, voice or meeting recordings.
  • Handle confidential information with discretion and professionalism.
  • Liaise with vendors and assist in general administrative and operational tasks.
  • Assist with basic bookkeeping tasks such as recording expenses, preparing invoices, preparing payroll, ensuring a receipt is collected for all expenses and organizing financial records (in Xero).
  • Provide support in maintaining financial reports or spreadsheets, including budget at a high level.
  • Collaborate with accounting personnel to ensure timely and accurate documentation of financial transactions.
  • Be ready to manage a junior administration person to be hired in the future.

Qualifications:

  • Bachelor's degree in Business Administration, Accounting, or a related field.
  • Proven experience as an Executive Assistant or in a similar role (e.g. project management).
  • Experience in vendor coordination and supporting budget management activities.
  • Proficiency in Microsoft Office Suite.
  • Basic bookkeeping knowledge and familiarity with accounting software (e.g., Xero). Training can be provided but basic bookkeeping skills key.
  • Strong organizational, multitasking, analytical skills and task management.
  • High level of professionalism and discretion in handling confidential information.
  • Ability to work independently and manage multiple priorities with minimal supervision.
  • Excellent written and verbal communication skills.
