About the Role

We are seeking a high-performing Operations Assistant to lead day-to-day business functions across administration, finance, HR, compliance, and client operations. This role requires strategic oversight, autonomy, and a proactive mindset. The ideal candidate is resilient, confident, and thrives in fast-paced, high-growth environments. You will work closely with senior leadership and play a key role in driving operational excellence, client satisfaction, and continuous improvement.

Responsibilities

General Administrative Support:

  • Managing and organizing email correspondence efficiently.
  • Preparing documents, handling expenses, and maintaining records.
  • Managing calendar and schedule.
  • Arranging and preparing meetings, taking minutes, and following up on action items.
  • Ensuring business is maintaining compliance with Laws and Regulations.
  • Assisting team as necessary with Administrative tasks.
  • Preparing reports. Implementing reporting frameworks and compiling

Planning and Strategy. Developing goals, creating strategies and designing plans to improve productivity.

Developing HR framework. Recruiting, hiring and managing staff performance.

Bookkeeping:

  • Capable of developing accurate financial forecasts and budgets.
  • Manage financial reports
  • Process invoices, reconcile vendor statements and maintain accurate payment records.
  • Verify accuracy of financial transactions and reports.

Customer Service:

  • Make outbound calls to stakeholders as needed.
  • Ability to negotiate and maintain positive client relationships.
  • Schedule meetings and booking service calls with suppliers

Competencies and Qualifications

Must-Have

  • 5 years of experience in operations management or a similar role
  • 1-3 years of bookkeeping/accounting experience
  • Proficient with Xero
  • Excellent written and verbal communication
  • Ability to identify and resolve issues independently.

Nice-To-Have

  • Background in property services or asset management
