We are hiring an Internal Operations Coordinator to support day-to-day operations and administrative functions for our virtual staffing company. This role ensures smooth coordination between operations leadership, team leads, and virtual assistants while maintaining accurate records, reports, and workflows. The ideal candidate is detail-oriented, proactive, and capable of handling multiple priorities in a remote environment.

Key Responsibilities

  • Assist in implementing internal processes, policies, and procedures
  • Coordinate with team leads for task delegation, monitoring, and reporting
  • Provide administrative support with scheduling, documentation, and meeting coordination
  • Maintain updated records of staff, client assignments, and operational data
  • Generate daily, weekly, and monthly reports
  • Act as a liaison between management, team members, and virtual assistants
  • Support onboarding and training for new staff
  • Identify workflow gaps and propose improvements

Requirements

  • 2–3 years of administrative or executive support experience (remote preferred)
  • Strong proficiency in Hubstaff, Airtable, Slack, Zendesk, Google Suite, and Microsoft Office
  • Excellent organizational and problem-solving skills
  • Strong English communication skills (written and verbal)

Must-Haves

  • Ability to work 20–40 hours per week, 7 PM – 4 AM PHT
  • Strong work ethic and reliability
  • Ability to adapt quickly to a fast-paced environment

Nice-to-Haves

  • Experience in onboarding and training support staff
  • Familiarity with workflow optimization and reporting tools
  • Background in client-facing support
