Job Description:

  • Assist in maintaining up-to-date financial records and documentation for the project;
  • Prepare contracts including, but not limited to, consultants' contracts, subcontracts, and amendments;
  • Process Request for Check Preparation (RCPs), Request for Cash Advance (RCAs) and support in managing fund disbursement;
  • Request quotations from travel agencies, hotels, and travel insurance, etc.
  • Prepare Purchase Requisition Forms (PRFs) and Purchase Orders (POs);
  • Process claims, billings, and reimbursements;
  • Notify consultants, resource persons, associates, and suppliers  regarding the deposit of their  PF payments and per diems/cash advance (CA);
  • Monitor  payments  to subcontractors  and  review liquidation documents submitted by  subcontractors, where applicable;
  • Monitor project expenditures against the approved budget;
  • Prepare and consolidate liquidations, including attachments that are related to the project;
  • Help prepare periodic financial reports for internal use;
  • Ensure that all transactions comply with the financial guidelines of the organization and client;
  • Assist during internal or external audits by organizing and providing required documentation;
  • Assist in workshops and seminars, when necessary;
  • Maintain the confidentiality and security of all financial data; and
  • Assist in the encoding of checklists and reports when
  • necessary.

Qualifications:

  • Must be a college graduate and familiar with business development/management, marketing or communications work
  • Must have excellent English writing and speaking skills
  • Must be a team player and must be able to work in a group-oriented and goal-centered work environment
  • Must be able to handle multiple tasks simultaneously and work under pressure
  • Must have a strong attention to detail and accuracy
  • Must be able to work in a fast-paced and changing environment
  • Deadline-driven and committed to excellence
  • Proficient in MS Office and relevant software
