Job Description
The HR Onboarding Specialist plays a critical role in facilitating seamless transitions for employees moving between programs and supporting the onboarding process for new talent. This position requires strong communication, organizational, and administrative skills to ensure that all onboarding and transfer requirements are met, while also supporting talent systems operations and audits. The HR Onboarding Specialist acts as a liaison between employees, affected departments, and leadership to deliver an efficient and positive onboarding experience.
Professional Talent Responsibilities
� Coordinate Communication Timeline & Build Plan: Develop and maintain a communication timeline and onboarding plan for non-agent employees, ensuring all transition dates and required onboarding or transfer documentation are communicated clearly and efficiently.
� Employee Transition Support: Work closely with employees who are transferring between programs to ensure they understand their offer letters and all requirements for moving, including background checks and drug test procedures.
� Liaison Efforts: Serve as the primary point of contact between affected departments and leadership to facilitate smooth transitions and resolve any issues related to onboarding or transfers.
� Applicant Pre-Screening: Assist the corporate recruitment team by conducting pre-screening interviews with applicants via phone or Teams meetings, ensuring that candidates meet initial qualifications.
� Administrative Support: Provide word processing and spreadsheet support for HR administration, maintaining accurate records and documentation throughout the onboarding process.
Talent Systems Responsibilities
� Audit Support: Assist in conducting both local and global audits related to talent acquisition and onboarding processes, ensuring compliance with internal and external regulations.
� TA Troubleshooting Ticket Management: Manage ticketing systems for talent acquisition (TA) troubleshooting, resolving issues efficiently and escalating when necessary.
� Form Audit & Redesign: Participate in the audit and redesign of individual Line of Business (LOB) forms to improve efficiency and compliance.
� Legal Documentation Assistance: Support the HR and legal teams by assisting in the retrieval and organization of legal documentation as required.
� KPI Reporting: Prepare and deliver reports on Key Performance Indicators (KPIs) for talent systems, providing insights to leadership and supporting continuous improvement efforts."
