Job Title: Virtual Assistant Operations & Administration Support - Plumbing & Roofing Company

Job Overview:

We are looking for a proactive and detail-oriented Virtual Assistant to provide operational and administrative support across the business. This role requires someone who is highly organized, excellent at maintaining systems and records, and confident in working closely with leadership, field staff, and clients. The successful candidate will be comfortable handling multiple priorities, ensuring compliance requirements are met, and keeping communication channels running smoothly.

Key Responsibilities:

  • Manage scheduling, dispatch, and resource allocation
  • Keep job management software (ServiceM8) accurate and up to date
  • Organize and maintain OneDrive files (insurances, compliance, licenses)
  • Maintain compliance portals (CM3), inductions, and staff certifications
  • Handle accounts payable/receivable in Xero
  • Prepare toolbox meetings and action admin requests promptly
  • Follow up on jobs, ensure invoices are accurate and timely
  • Provide excellent customer service and clear communication
  • Problem-solve operational issues and support team efficiency

Requirements:

  • Experience in admin, operations, or coordination roles
  • Proficiency with ServiceM8, Xero, and OneDrive (CM3 experience a plus)
  • Strong communication and problem-solving skills
  • Detail-focused with excellent organizational skills
  • Knowledge of QLD/Brisbane area preferred
  • Roofing or field service industry experience is an advantage
