Key Responsibilities:
1. Administrative Support
- Manage and maintain the Managing Director's daily schedule, appointments, and travel plans.
- Prepare and organize documents, correspondence, and reports for meetings and presentations.
- Handle phone calls, emails, and other communications in a professional and timely manner.
- Take minutes of meetings, monitor deadlines, and follow up on assigned tasks.
- Prepare reimbursements, expense reports, and assist in budget monitoring when necessary.
2. Office Coordination
- Serve as the primary liaison between the Managing Director and internal departments, clients, and business partners.
- Ensure smooth communication and coordination across all levels of the organization.
- Assist in arranging meetings, events, and business functions.
- Maintain organized and confidential records and files.
3. Travel and Field Assistance
- Accompany the Managing Director during business trips, site visits, and out-of-town meetings or events.
- Coordinate travel logistics, including transportation, accommodation, and itineraries.
- Provide on-site assistance to ensure the Director's activities run efficiently.
4. Executive Assistance
- Prepare executive summaries, briefing materials, and reports as required.
- Draft and proofread letters, memos, and official documents.
- Manage expense reports and reimbursements.
- Support in planning and coordinating corporate events and meetings.
5. Flexibility and Availability
- Willing to render overtime work as required by the Managing Director's schedule.
- Willing to work on rest days, weekends, or holidays when official business or urgent company activities require attendance.
- Maintain flexibility to adjust to changing schedules and work demands.
6. Confidentiality and Professional Conduct
- Handle all information with strict confidentiality and discretion.
- Represent the Managing Director and the company in a professional and respectful manner at all times.
