Position Title: Commercial Real Estate Administrator
Schedule: Monday – Friday, 9:00 am - 5:30 pm QLD, AU Time or 7:00 AM – 3:30 PM PH Time
Holiday to follow: QLD, AU Holidays
Workdays: Mon - Fri
Work Set-up: Work From Home or office.
Work Details: Full-time
About the Role
This role is ideal for someone with a solid background in commercial property management and sales administration, who is confident in using industry-specific platforms and can juggle multiple responsibilities efficiently. A strong knowledge of Realworks and Released software is essential.
Key Responsibilities
Non-Negotiable Duties
Realworks Software (Mandatory)
· Prepare and process Form 6 agreements (Management, Sales, Leasing).
· Draft and manage Commercial Contracts and Commercial Tenancy Agreements.
· Prepare and manage additional commercial property documentation including:
o Tenancy contracts
o Sales contracts
o Certificates
o Heads of Agreement
o Application for Lease
o Key leasing documentation
o Client credit checks
o Settlement dates and associated documentation
Released Software (Mandatory)
· Onboard new commercial property managements.
· Perform bank account reconciliations.
· Enter and manage property-related expenses (e.g., council rates, water rates).
Online Listings & Commercial Real Estate)
· Upload, update, refresh, and maintain property listings across RC and CRE platforms.
· Ensure all listing details, marketing collateral, and property information remain accurate and up to date.
Sales, Leasing & Marketing Support
· Reassign property listings as required.
· Coordinate and assist with client communications, appointments, and inspection follow-ups.
· Respond to RC/CRE enquiries and other lead sources.
· Conduct property searches and compile suburb stock lists.
· Coordinate site photography and order signboards.
· Pitch property management services to incoming enquiries as needed.
· Compile lease applications and manage new application form creation.
· Support settlement tracking and related administrative tasks.
· Encode enquiry and contact data into Mailchimp and Beevo.
Graphics & Design
· Create and update IMs (Information Memorandums), brochures, and CMA presentations using Canva (or similar design tools).
· Prepare digital marketing assets aligned with brand guidelines.
Social Media & Digital Marketing
· Manage Facebook/Instagram enquiries through Meta Business Suite.
· Upload and schedule advertisements and social posts via Feedafy or similar platforms.
· Produce static and reel content with Only Commercial branding, including:
o Sold / Leased announcements
o For Sale / For Lease promotions
o Brand awareness pieces
o Testimonials
o Events and podcasts
o New employee announcements
o Personal/professional content
Vendor Paid Advertising
· Coordinate tasks related to vendor-funded marketing campaigns, including campaign setup, approvals, tracking, and reporting.
Key Requirements
· Proven experience in commercial real estate administration.
· Mandatory experience with Realworks and Released software.
· Strong understanding of commercial property documentation, forms, contracts, and tenancy/legal processes.
· Proficiency in managing online listings, especially through and Commercial Real Estate (CRE).
· High attention to detail, particularly when handling contracts, reconciliations, and formal documentation.
· Excellent written communication and a professional approach to client and stakeholder interactions.
· Strong organisational skills with the ability to prioritise multiple deadlines in a fast-paced environment.
Preferred Qualifications
· Experience using Canva, Mailchimp, Feedafy, Beevo, and other digital marketing tools.
· Familiarity with social media management and customer engagement practices.
· Prior experience in a similar commercial real estate role is highly advantageous.
