DUTIES AND RESPONSIBILITIES

  • Establish and maintain an organized filing system (both electronic and physical) for project and engineering documents.
  • Manage document workflows, including creation, review, revision, approval, issuance, and archiving.
  • Ensure proper document numbering, version control, and retrieval of records.
  • Receive, log, and distribute incoming and outgoing project correspondence and technical documents.
  • Coordinate with project engineers, QA/QC, and other departments to ensure all project documentation is updated and compliant with internal standards and client requirements.
  • Track the status of engineering drawings, submittals, and technical documents to ensure timely processing.
  • Prepare transmittals and documentation reports as required by management or clients.
  • Maintain confidentiality and ensure data integrity in all documentation processes.
  • Assist in the preparation of turnover and handover documents at project completion.
  • Perform other related duties that may be assigned by immediate superior.

QUALIFICATIONS

  • Bachelor's degree in Engineering, Business Administration, or any related field.
  • At least 1–3 years of experience as a Document Controller, preferably in an engineering or construction environment.
  • Knowledge in Engineering Documentation and familiarity with document control systems, standards, and templates.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook) and document management software.
  • Strong attention to detail, organizational skills, and accuracy in handling documents.
  • Excellent communication skills and ability to coordinate with multiple departments.
  • Ability to handle sensitive information with confidentiality.
