We are seeking a highly organized and proactive Operations VA to support a fast-paced, dynamic work environment. The ideal candidate will be detail-oriented, able to manage multiple tasks simultaneously, and demonstrate strong initiative. This role involves providing administrative and operational support across various functions, including data entry, calendar management, email handling, invoicing, and more. The VA will play a crucial role in ensuring smooth workflows, accurate records, and timely communication.

Key Responsibilities:

*Operations & Admin Support:

  • Track and manage incoming and outgoing materials, shipments, and inventory.

  • Fill out detailed forms and documents accurately to avoid costly mistakes.

  • Organize and maintain internal systems, files, and processes to streamline operations.

*Data Entry & CRM Management:

  • Update CRM tools and project management platforms with client information, orders, and production status.
  • Ensure all data is accurate, complete, and up-to-date.

*Finance & Invoicing Support:

  • Enter invoices and financial data into accounting software (QuickBooks or similar).

  • Track payments, follow up on outstanding balances, and ensure financial records are accurate.

*Calendar, Email & Task Management:

  • Manage calendars, schedule meetings, and update deadlines.
  • Handle emails, prepare drafts, send reminders, and manage client follow-ups.
  • Keep the team's to-do lists organized and ensure no tasks are overlooked.

*General Operations Support:

-Assist in organizing internal workflows and identifying areas for improvement.

- Proactively resolve issues before being asked and work independently.

-Assist with order tracking and updates as needed.

Mandatory Skills:

*Strong organizational skills with a keen eye for detail.

*Ability to manage multiple tasks simultaneously in a fast-paced environment.

*Excellent written and verbal communication skills.

*Experience with calendar management and email organization.

*Proficiency with common office software (Google Suite, Microsoft Office).

*Comfortable using CRM tools and project management platforms or similar).

*Ability to handle confidential information with discretion.

*Ability to work independently with minimal supervision.

Preferred Skills:

*Previous experience in administrative support or operations.

*Familiarity with QuickBooks or other accounting software.

*Experience using or similar CRM tools.

*Knowledge of inventory or order tracking systems.

*Experience with e-commerce platforms (e.g., Shopify) is a plus.
