General VA with Xero

We're looking for two rockstar General VAs with experience in Admin, Xero, and Social Media to support 2 growing Australian construction businesses. These full-time, remote roles are split across general admin, finance, and social media support. While the companies are different, both roles require someone who's proactive, detail-driven, and confident building systems and processes from scratch.

About the roleRoughly 70% of this role is focused on general admin and financial tasks, updating job records, managing documents, supporting scheduling, tracking expenses, and helping streamline how things are run. One of your biggest responsibilities will be to help build and document SOPs and create repeatable, efficient systems and processes that scale.
About 30% of your time will also be spent supporting with social media tasks: repurposing existing content plans, creating simple graphics, and scheduling posts. You won't need to create campaigns from scratch, but you will need to execute the plan and stay organised.

Responsibilities
Admin & Operations (70%)
This role is all about creating structure and keeping things moving behind the scenes.
Monitor and manage shared inboxes, flag urgent emails, and respond to client enquiries professionally.
Manage calendars, internal reminders, and scheduling for meetings, inspections, and site-related events.
Set up and maintain job records, internal trackers, proposals, and documentation.
Build and maintain SOPs and internal systems to support workflows, compliance, and team efficiency.
Enter and reconcile invoices, POs, and job costs in Xero.
Follow up on outstanding payments and support expense tracking.
Support HR basics like leave tracking, payroll checks, and contractor onboarding.
Assist with OHS/Compliance coordination (HazardCo or similar).
Social Media Management (30%)
Upload and schedule social media content using simple social media tools.
Implement the existing social media calendar and campaign plans.
Keep WordPress, GHL, or Squarespace pages up to date with small changes.
Organise social media files and liaise with our videographer as required.

We want to hear from you if you have…
At least 4+ years of experience as a General Admin VA with Social Media experience working online directly for US, Australian, or European clients.
Experience in residential construction is highly desirable.
Experience setting up or improving internal systems, processes, or SOPs.
Experience with Xero or QuickBooks (invoice entry, reconciliation, expense tracking)
Confidence with project management and CRM tools, i.e. Wunderbuild, Trello, or Excel.
Strong communication, time management, and attention to detail.
Exceptional English written and verbal communication skills.
Experience with social media management, Canva and/or other design programs.
A proactive attitude and the ability to manage multiple tasks independently.
