We are looking for a highly organized and detail-oriented Bookkeeper VA to manage financial transactions, payroll processing, and bookkeeping tasks. In this role, you will be responsible for managing tenant collection processes, initiating legal proceedings when necessary, and tracking their progress. The ideal candidate will have experience with QuickBooks, ADP (or similar payroll software), and U.S. financial regulations. Strong communication skills are essential, as you will collaborate closely with property owners, tenants, and internal teams to ensure smooth financial operations.
Key Responsibilities:
* Manage tenant collection processes, initiating legal proceedings when necessary, and monitoring their progress.
* Maintain accurate financial records, including invoices, receipts, and payments.
* Utilize QuickBooks for bookkeeping, expense tracking, and financial reporting.
Prepare and analyze financial statements, such as profit & loss reports and balance sheets.
* Ensure compliance with U.S. financial regulations, tax laws, and accounting standards.
* Assist with tax filings, audits, and other compliance matters.
* Process payroll using ADP, ensuring accuracy and compliance.
* Provide financial updates and collaborate with internal teams.
* Use property management software to track rental income, lease agreements, and financial transactions.
* Engage with tenants and property owners regarding rental payments, late fees, and lease agreements.
* Maintain communication with vendors, contractors, and service providers..
Mandatory Requirements:
* Prior experience managing financial records and payments. - MUST
* Proficiency in QuickBooks - MUST
* Strong proficiency in Excel
* Excellent communication skills
* Ability to quickly learn and adapt to new processes
* Experience with ADP or similar payroll processing tools.
* Ability to communicate effectively and take initiative in tasks.
* Skilled in overseeing workflows, ensuring efficiency, and maintaining organization.
* Familiarity with U.S. Financial Regulations - compliance requirements for financial transactions
* Comfortable working in the U.S. time zone
Preferred Skills:
* Familiarity with Buildium software - an advantage
* Able to anticipate needs, take initiative, and solve problems independently.
* Knowledge of financial workflows, invoicing, or bookkeeping is an advantage.
* Previous experience in a U.S.-based work environment is beneficial.
* Prior experience handling finances for real estate companies is a plus but not required.
