**Job Summary**

We are seeking a highly organized and proactive Bid Estimator Coordinator to support our estimating teams in a fully remote position.

Bid Package Management
  • Coordinate and track bid proposals from initiation to submission, ensuring all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications.
  • Organize files for executive review, maintain consistent folder structures, solicit and track supplier and subcontractor pricing, and update a bid contact database with key partners.

The ideal candidate will be responsible for documenting and properly saving all quotes, collaborating with estimators on bid deadlines and scheduling, assisting with software tracking and document management, generating summary bid reports, and maintaining a bid calendar.

Administrative & Compliance
  • Prepare and submit prequalification packages, bid bonds, and forms as required.
  • Ensure bid records are saved and easily accessible for audit and historical review.
  • Support the implementation of a delegation of authority process to route bids for internal approvals.

This is a full-time role requiring prior remote work experience and a proven ability to self-manage in a virtual setting. Strong proficiency in Microsoft Excel is essential (pivot tables, lookups, formatting, etc.), along with detail-oriented organizational and follow-up skills and excellent written and verbal communication skills.

Preferred qualifications include experience in construction, engineering, or MEP industries, familiarity with estimating tools (Pinnacle, PlanSwift, Bluebeam), and prior experience supporting estimating, project management, or construction administration.
