Bid Estimator Coordinator

We are seeking a highly organized and proactive professional to support our estimating teams. This is a full-time job requiring strong proficiency in Microsoft Excel, detail-oriented skills, and excellent written and verbal communication skills.

  • Key Responsibilities:
  • Coordinate and track bid proposals from initiation to submission by ensuring all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications.
  • Organize files for executive review and maintain consistent folder structures by soliciting and tracking supplier and subcontractor pricing.
  • Maintain and update a bid contact database with key partners by ensuring all quotes are documented and properly saved for reference.
  • Collaborate with estimators on bid deadlines and scheduling by generating summary bid reports and maintaining a bid calendar.
  • Administrative & Compliance:
  • Prepare and submit prequalification packages, bid bonds, and forms as required to ensure bid records are saved and easily accessible for audit and historical review.
  • Support the implementation of a Delegation of Authority (DOA) process to route bids for internal approvals.

Preferred Qualifications:

This role would benefit from experience in construction, engineering, or MEP industries, familiarity with estimating tools, and prior experience supporting estimating, project management, or construction administration.
