About the Role

We are seeking a highly organized Bid Estimator Coordinator to support our HVAC and Plumbing estimating teams. This role is fully remote and critical in ensuring that bid proposals are complete, accurate, and submitted on time. If you are detail-oriented, Excel-savvy, and enjoy coordinating projects, this is an excellent opportunity to grow in the construction and engineering industry.


Key Responsibilities
  • Bid Package Management: Track and coordinate bid proposals, ensure all documents (quotes, bids, specs, clarifications) are complete and organized.
  • Vendor & Subcontractor Coordination: Solicit and track supplier/subcontractor pricing, maintain bid contact database, and ensure proper documentation.
  • Estimating Support: Assist estimators with bid scheduling, document tracking in Pinnacle, generate summary reports, and maintain bid calendars.
  • Administrative & Compliance: Prepare prequalification packages, bid bonds, and internal approval forms; ensure all bid records are properly saved for audit.

Qualifications
  • Prior remote work experience with strong self-management skills.
  • Advanced proficiency in Microsoft Excel (pivot tables, lookups, formatting).
  • Excellent organizational, communication, and follow-up skills.
  • Detail-oriented and highly dependable.

Preferred (Not Required)
  • Background in construction, engineering, or MEP (Mechanical, Electrical, Plumbing).
  • Familiarity with estimating tools (Pinnacle, PlanSwift, Bluebeam).
  • Experience supporting estimating, project management, or construction administration.
