We are seeking an exceptional Administrative Professional to provide comprehensive support to a senior executive in a dynamic family office.

  • Extensive travel management: Coordinate and book domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries, ensuring efficiency and cost-effectiveness.
  • Email and calendar management: Proactively manage and prioritize a demanding executive calendar, scheduling meetings, appointments, and calls. Efficiently manage email correspondence, drafting responses, flagging urgent matters, and organizing the inbox.
  • Procurement and research: Conduct thorough research for various personal and professional purchases, identifying optimal solutions, negotiating with vendors, and managing the procurement process from inquiry to delivery.
  • Comprehensive administrative support: Handle a wide range of administrative tasks, including preparing presentations, organizing documents, managing expenses, maintaining organized filing systems (digital and physical), and handling confidential information with discretion.
  • Investment support: Assist with light research related to investment opportunities, prepare summary documents, organize investor materials, and maintain confidentiality regarding sensitive financial information.

Requirements:

  • At least 5 years of experience as an administrative professional supporting senior executives, preferably in a fast-paced environment.
  • Prior experience in Private Equity, Venture Capital, Investment Banking, or a similar financial services environment is highly preferred.
  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant productivity tools.
  • Excellent written and verbal communication skills, with a keen eye for detail.
  • High level of discretion, professionalism, and integrity when handling confidential information.
  • Proactive, resourceful, and able to anticipate needs and act independently.
  • Ability to work flexible hours when required to accommodate executive travel and urgent matters.
