Key Responsibilities
  • Manage complex scheduling across multiple executives, ensuring accuracy and resolving conflicts.
  • Arrange personal and professional travel, managing end-to-end bookings and contingency plans.
  • Prepare and review high-quality presentations, ensuring branding and clarity in PowerPoint decks.
  • Draft professional correspondence, writing letters and communication with a polished tone.
  • Maintain accurate databases, updating key records with 100% accuracy.
  • Coordinate across departments, ensuring smooth information flow between teams.
  • Handle phone-based scheduling as liaison when email scheduling is restricted.
  • Protect confidential information, managing sensitive medical and operational data with discretion.
  • Support special projects, delivering high-quality results under tight deadlines.
Required Qualifications
  • Minimum 4 years of experience in executive or administrative support, preferably in healthcare or physician-facing roles.
  • Proven success managing complex scheduling and database administration.
  • Expertise in PowerPoint, Excel, email management, and database administration.
  • C1-level English proficiency (spoken and written).
  • Ability to work aligned to Pacific Standard Time hours.
  • Strong attention to detail and accuracy in all deliverables.
  • Demonstrated professionalism in handling confidential information.
