
Administrative Coordinator

This role requires a highly organized and proactive individual to provide executive level support.
- Preparation of client proposals and engagements is essential, ensuring alignment with brand and content guidelines.
- Calendar management for Directors, scheduling meetings, prioritizing tasks, and effective time allocation are critical responsibilities.
- Travel arrangements, including flights, accommodation, and itineraries, must be well-organized.
- Proofreading emails, reports, contracts, and client communications is also necessary.
Project Management
- Set up and manage client projects in project management tools, tracking tasks and deadlines.
- Generate client progress reports and draft invoices.
Marketing and Outreach
- Utilize CRM systems for contact tracking and messaging.
- Targeted outbound messaging on LinkedIn is required.
- Create visually appealing documents, presentations, and graphics using design software.
- Assist with marketing automation tools and email/message campaigns.
Tech and Systems Management
- Maintain and organize company files and documentation within cloud storage platforms.
- Implement new marketing tech tools to improve efficiency and workflow.
Required Skills and Qualifications
- A minimum of 4+ years experience in an administrative or similar role.
- Project management experience is preferred.
- CRM experience for managing contacts and messaging is required.
- Cloud storage competence, specifically Google Workspace, is necessary.
- Design software skills for content creation and light design work are required.
- Marketing tech tools knowledge for email automation and CRM integrations is beneficial.
- Strong written and verbal communication skills in English are essential.
- Ability to work independently and manage remote tasks is required.
- Strong attention to detail, organization, and project management skills are necessary.
