Job Description

Our ideal candidate will provide administrative support to our team by performing a variety of tasks, including:

  • Coordinating with suppliers and service providers for billing and payment purposes
  • Managing messenger routes and submitting monthly reports
  • Source office supplies, manpower, courier services, and other branch needs
  • Validating messenger liquidations and entries on their daily time records
  • Preparing APV for payment requests
  • Monitoring fuel consumption and validating gas POs
  • Coordinating with HMO and insurance providers for new employees and dependents
  • Managing administration reimbursements and filing via Concur
  • Purchasing and recording fixed assets as needed
  • Processing Global IDs and Sub-con IDs for new employees

HR Procedure and Training:

  • Screening applicants and scheduling interviews
  • Issuing newly hired employee lists for 201 files
  • Coordinating with current HMO providers for pre-employment medical exams
  • Conducting orientation for new hires on the first day of employment
  • Submitting headcount reports to management on a monthly basis
  • Email reminders for third and fifth-month evaluations of probationary employees
  • Maintaining employee 201 files and updating data registers
  • Processing service award recipient lists
  • Monitoring timekeeping infractions and leave balances

Government Reporting:

  • Processing SSS contributions and employee loans
  • Submitting PHIC reports and paying premiums online
  • Processing HDMF premium contributions and employee loans
  • Registering new employees without TIN numbers
  • Renewing permits, licenses, and subscriptions for the branch

Travel Coordination:

  • Booking flights, hotels, and transportation for official business trips
  • Preparing APVs for travel agency billing
  • Submitting hotel booking reports and monthly travel reports

Qualifications

  • Graduate of any business-related course
  • 1-2 years of experience in administrative and general HR roles
  • Ability to multitask and prioritize tasks effectively
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Excel and Pivot tables
  • Fluent in English
