
Administrative Coordinator with Construction Industry Expertise

We are seeking a highly organized and detail-oriented Executive Assistant with a background in the construction industry to join our team. In this role, you will provide administrative support to our executives, manage their calendars, coordinate meetings, and handle confidential information with discretion.
As an Executive Assistant, your primary responsibility will be to ensure seamless day-to-day operations of our executive team. This includes managing correspondence, preparing reports, and maintaining accurate records. You will also assist in organizing and maintaining project documentation, contracts, and permits.
Furthermore, you will coordinate communication between executives, clients, subcontractors, and on-site teams. You will monitor project timelines and deliverables, providing updates to executives as needed. Additionally, you will conduct research related to construction materials, vendors, and industry best practices.
To succeed in this role, you will need excellent organizational and time-management skills, strong English communication skills, and proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software. You will also have the ability to work independently, handle multiple tasks with a high degree of accuracy, and demonstrate high attention to detail and problem-solving skills.
Responsibilities include:
- Manage and coordinate executive calendars, scheduling meetings, appointments, and travel arrangements
- Prepare and edit correspondence, reports, and presentations specific to construction projects
- Handle confidential information with discretion, ensuring compliance with industry regulations
- Assist in organizing and maintaining project documentation, contracts, and permits
- Coordinate communication between executives, clients, subcontractors, and on-site teams
- Monitor project timelines and deliverables, providing updates to executives as needed
- Conduct research related to construction materials, vendors, and industry best practices
Requirements include:
- Minimum of 3 years of experience as an Executive Assistant to C-levels
- Bachelor's degree in Business Administration or related field preferred
- At least 3 years of experience as an executive assistant or in a similar administrative role
- Familiarity with the construction industry and its operations is highly desirable
- Strong organizational and time-management skills
- Excellent English communication skills: reading, writing, and speaking
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with project management software
