
Senior Administrative Liaison

This role exists to provide senior executive support in a fast-paced remote environment, freeing up the CEO's time from routine administrative tasks and enabling effective communication with internal staff and external clients.
Key Responsibilities- Administrative Support & Calendar Management:
- Organize and manage the CEO's calendar and emails, prioritizing and responding to routine inquiries.
- Assist with travel arrangements and meeting bookings.
- Manage task lists, deadlines, and send timely reminders for meetings and deliverables.
- Document Digitization & Management:
- Digitize hard-copy documents and set up a document management system using SharePoint.
- Maintain digital filing systems for quick, secure, and easy access to information.
- Communication & Representation:
- Serve as a professional point of contact, communicating clearly with both internal staff and external clients or contractors.
- Make and receive phone calls on behalf of the CEO.
- Draft and respond to correspondence, ensuring sensitivity to local market nuances in both English and French.
- Coordination & Follow-Up:
- Coordinate with staff and third parties to ensure seamless project and task execution.
- Track open items, follow up on pending issues, and provide regular status updates to the CEO.
- Technology & Adaptability:
- Utilize Microsoft Office Suite (Outlook, Teams, SharePoint) and adapt quickly to new tools or processes as needed.
Requirements:
- Minimum 2 years experience as an Executive Assistant or in a similar high-level administrative role.
- Fluency in both English and French (written and spoken).
- Proven experience managing calendars, emails, and documents for senior executives.
- Strong proficiency with Microsoft Office Suite (Outlook, Teams, SharePoint).
- Comfortable and professional handling phone communications.
