About the Role:

As a Customer Support Concierge, you will be the first point of contact for our clients. Your primary responsibility is to greet them warmly and route them to the relevant team member in a timely manner.

This role requires exceptional communication skills, time management, and organization abilities to thrive in a high-energy environment.

Key Responsibilities:

  • Greet clients at the reception area and direct them to the appropriate staff member
  • Manage video calls, chats, and forward clients to team members as needed
  • Collaborate with managers and customer support representatives to facilitate seamless connections on Zoom
  • Develop best practices for waiting room etiquette and maintain an optimal Zoom room experience
  • Educate clients on chat and Zoom support features
  • Provide constructive feedback to leadership to enhance the client experience
  • Connect senior specialists with scheduled clients
  • Assist in urgent escalations by working closely with managers and senior specialists
  • Ongoing tasks may vary based on business needs

Requirements:

  • A high school diploma or equivalent is required
  • Prior experience as a receptionist, scheduler, administrative assistant, or similar role is preferred
  • Familiarity with online calendars and scheduling tools (e.g., Google Calendar) is a plus
  • Experience handling high call volumes and resolving client needs efficiently is beneficial
  • Superior phone, email, and instant messaging communication skills are essential
  • Organizational skills to maintain accurate records and vital information promptly are necessary
  • Time management skills to prioritize and complete multiple tasks effectively in a fast-paced environment
  • Patience and active listening skills to respond thoughtfully and interact positively with clients
  • Excellent interpersonal skills to create a pleasant experience for all clients, including being personable and attentive
  • Emotional intelligence to adjust your communication style according to the nature of the interaction
  • The ability to build lasting impressions and relationships with clients
  • Able to work remotely and "camera ready," requiring a quiet workspace with minimal distractions
  • A reliable high-speed internet/Wi-Fi connection at home with minimal interruptions
  • Availability to work flexible hours, including mornings, evenings, weekends, and holidays
  • Familiarity with HighLevel products and services is a plus
  • Intermediate proficiency in using MAC computers, including multiple monitors and applications
  • Basic knowledge of the following software: Google Suite, Zoom, Slack, Excel, Spreadsheets, MAC, etc.
