Program Coordinator Role Overview

The Program Coordinator plays a vital role in ensuring the efficient execution of our programs. This position involves handling various administrative, data entry, and project-based tasks as assigned by the Program Manager.

Key Responsibilities:

  • Assist in the onboarding process for candidates, monitor missing timesheets, expenses, and invoice submissions, and follow up with Associates and Managers to ensure timely approval completion.
  • Support the Program Team in maintaining accurate data within the VMS and/or Client Facing Systems.
  • Contribute to Onboarding & Offboarding activities, including onboarding and offboarding processes, badge returns, system deactivations, and offboarding documentation.
  • Prepare and distribute weekly/monthly dashboards and ad hoc reports for client and internal use.
  • Regularly monitor both Power BI and VMS dashboards, document any anomalies, and proactively escalate potential issues as needed.
  • Ensure timely completion and meeting deadlines of weekly tasks and reporting assigned by your manager.

Requirements and Qualifications:

  • High School Diploma and 1-3 years' work experience as a recruiting assistant, staffing coordinator, or administrative assistant.
  • Proficient with technology, including Microsoft suite of products and Adobe.
  • Knowledge of VMS, HRIS, or ATS systems, office administrative procedures, and standard office equipment.
  • A team player, with strong follow-up skills, attention to detail, and high accuracy.
  • Effective communication skills (written and verbal), ability to take and follow direction, and escalate problems when necessary.

This role operates in a professional office environment and requires minimal travel. The ideal candidate should possess excellent time management and multi-tasking skills, as well as the ability to lift files or other objects up to fifteen pounds.
