
Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to manage day-to-day administrative and bookkeeping tasks for our operations.
The ideal candidate will have experience with software applications used in the construction industry, such as AccuLynx, or possess strong skills in construction management or roofing industry software.
Key Responsibilities:- Answer incoming phone calls, take accurate messages, and provide exceptional customer service
- Enter work orders, project details, and job updates into software applications
- Prepare and process invoices, and assist with accounts payable and receivable entries
- Maintain accurate financial and project records in QuickBooks or other accounting software
- Research permit and license requirements for jobs in various municipalities
- Coordinate with project managers, estimators, and field crews to ensure timely information flow
- Maintain organized digital and physical filing systems for contracts, invoices, and project documents
- Assist with scheduling, correspondence, and other general administrative duties
- Prior experience in an administrative/bookkeeping role within construction or roofing is preferred
- Experience with AccuLynx strongly preferred; familiarity with other construction or roofing software accepted
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook)
- Strong communication skills and professional phone etiquette
- High attention to detail and accuracy in data entry and recordkeeping
