
Hybrid HR and Executive Support Specialist

This role is a unique blend of HR operations and executive support, serving as a key partner to leadership in ensuring seamless internal workflows, people management, and executive tasks run efficiently.
You will be responsible for managing sensitive data related to payroll, templates, systems, and documentation with precision. Additionally, you will source resumes and assist with applicant tracking processes.

- Manage scheduling and set up meetings across departments and time zones.
- Make purchases on behalf of the organization in line with internal procedures.
- Source resumes and assist with applicant tracking processes.
- Keep HR and operations-related lists and records up to date and organized.
- Serve as a point of contact for employee questions and route concerns to the appropriate channels.
- Assist senior leadership in creating and formatting presentations.
- Communicate clearly and professionally in both written and verbal English.
- Anticipate upcoming needs and take a proactive approach to problem-solving.
- Handle confidential information with care and discretion.
The ideal candidate will have experience in HR administration and/or executive support, preferably in a fast-paced or startup environment. They must possess impeccable attention to detail and organizational skills, as well as strong data entry skills and comfort working with systems, spreadsheets, and internal tools.
Additionally, they should be proficient in scheduling tools, G Suite, and communication platforms like Slack or Zoom. Excellent written and spoken English are required, along with demonstrated ability to think critically, anticipate challenges, and act with integrity.
