Job Overview

The Executive Assistant provides critical support to the CEO in a dynamic environment.

As a proactive and dependable professional, you will manage the CEO's inbox and task list, ensuring timely follow-ups and clear priorities.

You will schedule meetings, coordinate calls, and assist with business communication. Invoicing will be handled through QuickBooks, and payments will be tracked and collected efficiently.

Client documents like W9s and COIs will be prepared and maintained effectively. Standard operating procedures will be created and documented for smoother operations.

You will assist in setting up tools and systems to improve workflow efficiency, supporting bid tracking and internal organization for future growth opportunities.

This role requires a highly detail-oriented individual who thrives on clarity, structure, and follow-through. You should be tech-savvy with tools like Google Workspace, Slack, and Zoom.

Excellent communication skills are essential, both in writing and over the phone. The ability to manage shifting priorities and work independently with minimal supervision is also crucial.

Experience supporting small U.S.-based businesses, particularly in construction or trades, is an asset. Bonus points if you've worked with entrepreneurs or supported civil/construction projects.
