Are you looking for a role that involves managing front-office communications, basic bookkeeping tasks, and project coordination duties?
We are seeking a dependable and detail-oriented professional to handle phone calls, enter work orders and invoices, assist with permit and licensing research, and provide general administrative support.
- Responsibilities include answering incoming phone calls and directing them appropriately or taking messages
- Enter work orders into the system and update job statuses as needed
- Create and process invoices accurately and on time
- Assist with accounts payable and receivable entries
- Research permit and license requirements for new projects, job sites, or services
- Maintain and organize digital and paper records for jobs, invoices, and documentation
- Provide administrative support to management and field staff
- Proven experience in an administrative or bookkeeping role is essential
- Proficiency in QuickBooks and Microsoft Office (Excel, Word, Outlook) is required
- Excellent communication skills and phone etiquette are necessary
- Strong organizational and multitasking abilities are required
- Ability to work independently and handle confidential information is necessary
- Familiarity with permit/license research or willingness to learn is beneficial
- High attention to detail and accuracy in data entry and invoicing is required
