Job Overview

An Administrative Specialist plays a vital role in safeguarding intellectual property, ensuring data accuracy, and supporting product development through robust document and master data management.

Key Responsibilities
  • Handle and organize confidential R&D documents, including recipes, specifications, and work instructions
  • Ensure completeness, accuracy, and secure distribution of controlled documents
  • Conduct documentation audits across manufacturing sites and recommend corrective actions
  • Maintain and improve the Document Database/Masterlist for easy access and tracking
  • Support external audit compliance by providing documentation and data support
Document Control & Compliance
  • Collaborate with finance on monthly cost roll-ups, especially for key mixes
  • Act as the R&D point person for SAP and SKP-related concerns
System & Process Development
  • Administer document management systems and lead corporate-wide alignment initiatives
  • Develop business processes and guides for document control and master data management
  • Monitor and update documents in response to system changes and revisions
Cross-functional Coordination
  • Communicate with suppliers regarding regulatory compliance updates
  • Coordinate with PH R&D and other business units on document initiatives and FSSC requirements
Education and Qualifications
  • Bachelor's degree required (any 4-year course/program)
  • 1-2 years of experience in document control, master data management, and SAP systems is an advantage
  • Strong organizational and analytical skills, high attention to detail, and confidentiality required
Work Arrangement
  • Hybrid working setup (4 days onsite, 1 day work-from-home) based in Calamba, Laguna
