We are looking for a detail-oriented and proactive Administrative Coordinator to join our team

The ideal candidate will possess excellent organizational skills, strong communication abilities, and a passion for delivering outstanding customer service.

Responsibilities:

  • Respond to inquiries in our social media channels promptly and guide potential clients through the booking process on our website.
  • Manage and respond to emails, including reservation and payment confirmations, in a timely manner.
  • Accurately encode transactions in Quickbooks and send client invoices.
  • Monitor invoices and payments.
  • Confirm booking slots on our booking system (Acuity) upon verification of payment.
  • Coordinate with suppliers to procure props and other requirements for client shoots.
  • Handle post-shoot concerns from clients and provide necessary support and assistance.
  • Distribute Google Drive links to clients for access to their photos following the shoot.
  • Work hand in hand with the Studio Coordinator/Manager in managing inventory and equipment maintenance.
  • Ensure client communicated concerns including pegs and other special arrangements are relayed to the Studio Coordinator/production team.
  • Coordinate with production and creative teams for post-production concerns, ensuring deadlines are met, and files are sent to clients promptly.
  • Assist in procuring studio supplies and equipment, including researching vendors, obtaining price quotes, and placing orders as needed.
  • Keep accurate records of daily transactions, including expenses, revenue, and petty cash disbursements, to maintain financial transparency and accountability.

Qualifications:

  • Bachelor's degree in Business Administration, Marketing, Communications, or related field preferred.
  • Proven experience in administrative roles, preferably in a fast-paced environment.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills, with a professional and friendly demeanor.
  • Proficiency in using social media platforms, email, and scheduling software.
  • Familiarity with financial software such as You Need a Budget and Quickbooks is a plus.
  • Ability to work independently and collaboratively in a team environment.
  • Strong attention to detail and accuracy in handling administrative tasks.
  • Flexibility to adapt to changing priorities and work under pressure.
  • Passion for delivering exceptional customer service and creating positive client experiences.

Job Type: Full-time
