The primary role of an Executive Support Specialist involves providing high-level administrative assistance to senior leaders within the Asia-Pacific region. Key duties include managing complex calendars, coordinating meetings across time zones, and arranging travel itineraries.
- Support process improvements by contributing to policy development and employee onboarding/offboarding processes.
- Prepare and format business documents, reports, and presentations using Microsoft Office Suite.
- Maintain records and organize office systems for efficiency.
Assist with payroll documentation, reimbursements, and HR reporting. Help coordinate training, performance reviews, and recruitment processes.
- Support employee engagement activities, including recognitions, gifts, and events.
Act as a key point of contact for regional teams with global offices. Coordinate with internal and external stakeholders to ensure smooth workflows.
- Provide support for regional projects, events, and initiatives.
The ideal candidate has 3+ years of experience in executive assistance or administrative coordination roles, preferably in the ANZ or US regions. They should be proficient in Microsoft Office Suite, have excellent communication skills, and be highly organized and detail-oriented.
