Payroll Specialist Job Description

The Payroll Specialist is a critical role responsible for managing the end-to-end payroll process for approximately 600 multi-state union and non-union employees. This position ensures timely, accurate payroll processing in accordance with collective bargaining agreements, internal policies, and all applicable federal, state, and local laws.

This position supports HR, Finance, and external vendors, playing a key role in audits, compliance, tax reporting, and system improvements. The Payroll Specialist serves as the first point of contact for payroll inquiries and provides exceptional customer service, contributing to a positive employee experience.

Responsibilities
  • Audit payroll and timekeeping data regularly for compliance and accuracy.
  • Manage the annual Workers' Compensation audit and prepare and submit Quarterly Multiple Worksite Reports (Unemployment Insurance).
  • Perform regular audits on benefits deductions, vacation accruals, and group term life insurance.
Job Requirements
  • Bachelor's degree in Business, Accounting, or a related field.
  • Minimum of 5 years of hands-on payroll processing experience in a multi-jurisdiction environment.
  • Strong understanding of payroll laws, accounting principles, and tax regulations.
Preferred Qualifications
  • Experience with union payroll, job costing, and prevailing wage compliance.
  • Proficiency with payroll systems (e.g., Paycom) and Microsoft Office Suite.
Work Environment and Schedule

Primarily remote with occasional travel to local service center as needed. Monday through Friday, standard business hours; may require extended hours during peak periods.
