Job Title: Virtual Administrative Assistant

About the Role:

We are seeking a highly organized and detail-oriented individual to join our team as a Virtual Administrative Assistant. As a key member of our support staff, you will be responsible for handling administrative tasks, providing exceptional customer service, and working collaboratively with colleagues to achieve goals.

Key Responsibilities:

  • Oversee clerical tasks, such as processing, sorting, and routing incoming and outgoing mail, ensuring timely and accurate completion.

  • Provide outstanding customer service and demonstrate strong interpersonal skills, building trust and rapport with clients and colleagues.

  • Sort and distribute vendor invoices to the billing and accounts payable departments as necessary, maintaining accuracy and efficiency.

  • Manage inventory levels, receive and forward documentation, and coordinate with the sales support team for receipt completion.

  • Track orders from production schedule to delivery date of products, utilizing workflow management systems for seamless execution.

  • Identify and manage backorder processes, replacing products when necessary to meet client expectations.

  • Monitor and reduce accounts receivable aging, maintaining a high level of professionalism and attention to detail.

  • Assist clients with administrative duties, providing personalized support and guidance as needed.

  • Create and update records, ensuring accuracy and validity of information in databases.

  • Maintain and enter information into databases, adhering to data quality standards and best practices.

  • Perform ad-hoc duties as assigned by management, demonstrating flexibility and a willingness to learn.

Requirements:

  • Education: A college degree in Marketing, Business Administration, or a related field is required.

  • Experience: 3–5 years in Customer Service, Data Entry, Administrative Assistance, or similar roles is preferred.

  • Language Proficiency: Excellent spoken and written English communication skills are essential.

  • Schedule: Must be able to work U.S. EST hours (graveyard shift in PH time), ensuring flexibility and adaptability.

  • Technical Skills:

    • A strong understanding of office management systems and procedures is crucial.

    • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and Google Suite (Sheets, Gmail, etc.) is required.

    • Familiarity with tools such as Wild Apricot, JotForm, Canva, SharePoint, Slack, and social media platforms is an asset.

    • The ability to quickly learn company-specific systems is essential.
