Customer Operations Position

We are seeking an exceptional individual to lead our growing team as we scale into the retail world rapidly.

Main Responsibilities

  • Manage day-to-day execution and oversight of the order to cash cycle, encompassing order entry, accuracy, and fulfillment from receipt through delivery, invoicing, and payment collection.

  • Offer customer support for pre-order activities, including systemic setup, writing customer-specific SOP's, and ensuring orders are ready to process.

  • Establish sustainable processes and systems from scratch, focusing on efficiency and scalability as we onboard with new Commercial customers and build out our Customer Operations team.

  • Create and manage collections of order operations SOP's tailored to different sales channels and customers.

  • Maintain robust data integrity in all order operations systems associated with order entry, fulfillment, management, and invoicing(QBO).

  • Lead month's end reconciliation from the Order Operations perspective, providing thoroughly vetted reporting to Accounting demonstrating accurate order entries in all systems and a seamless tie-out.

  • Develop workflows using connectors like Zapier, Make, N8N, Parabola, etc. to significantly reduce repetitive, manual work handled by the team daily.

Necessary Skills and Qualifications

  • Able to work full-time US-based hours.

  • Familiarity with automation tools, particularly Zapier, Make, and N8N.

  • Excellent written and verbal communication skills in a customer-facing role.

  • Elite organizational abilities and attention to detail.

  • Extremely process-oriented, able to identify and define issues, create scalable processes, and implement them with team members both within and outside the department.

  • Order Processing experience, including EDI, B2B, and manual orders, with strong ERP system experience.

  • Experience managing direct reports.

  • At least 2 years of experience working in US food & beverage order operations with distributors such as UNFI & Kehe and retailers like Target.

  • Able to thrive in a fully remote work environment under minimal supervision.

  • Extremely customer-focused, with an unrelenting desire to provide world-class customer service while maintaining the company's best interests.

  • Killer instinct mentality: Willing to roll up sleeves, figure things out, and get tasks done even when they don't seem to be in their wheelhouse.

To succeed in this role, ideal candidates will have:

  • A solid understanding of Order Operations finance.

  • Experience working in high growth, startup environments.

  • Led a team through an ERP implementation.

  • Good to advanced Excel and Google Sheets skills, with excellent quantitative and qualitative analytic skills to formulate and articulate valid conclusions through reporting.
