Administrative Support Specialist

At Gratitude Philippines, we are seeking an exceptional HR and Admin Assistant to join our team. This is a unique opportunity for a detail-oriented and organized individual to contribute to the success of our organization.
Key Responsibilities:- Human Resources Support:
- Recruitment Processes: Assist in job postings, screening resumes, scheduling interviews, and conducting reference checks.
- New Hire Onboarding: Coordinate the preparation of employment contracts, orientation materials, and facilitate training sessions.
- Employee Records: Maintain accurate personnel files, HRIS data entry, and update organizational charts.
- Benefits Administration: Assist with enrollment, changes, and inquiries related to health insurance, retirement plans, and other employee benefits.
- Tax Compliance: Ensure compliance with tax regulations on employee compensation and assist in tax-related inquiries and reporting.
- Administrative Support:
- General Administrative Tasks: Manage filing, data entry, phone calls, and respond to email inquiries.
- Meetings and Travel: Coordinate meetings, appointments, and travel arrangements for staff and management as needed.
- Document Preparation: Assist in preparing documents, reports, and presentations.
- Business Operations: Aid in processing business permits, licenses, and accreditations required for our operations.
- Liaison Services: Liaise with government agencies and regulatory bodies to ensure compliance with legal and administrative requirements.
- Facility Management: Support tasks such as coordinating maintenance, repairs, and office logistics.
- Company Events: Assist in organizing company events, meetings, and employee engagement initiatives.
- Compliance and Documentation:
- Regulatory Compliance: Ensure compliance with relevant employment laws, regulations, and company policies.
- Confidentiality: Maintain confidentiality of sensitive HR and employee-related information.
- Documentation: Prepare and maintain documentation for audits, regulatory filings, and HR compliance purposes.
- HR Policies: Assist in drafting and updating HR policies, procedures, and employee handbook as needed.
