We are seeking a detail-oriented and proactive Quality Administrative Assistant to support the Quality Assurance and Compliance teams. The ideal candidate will have a strong background in quality documentation, supplier coordination, and compliance tracking—preferably within the food industry or similar regulated environments.

Responsibilities:

  • Review Certificates of Analysis (C of A) for both local and imported goods; follow up with suppliers for missing or incomplete information
  • Cross-check C and C (Compliance and Conformance) information against C of As to ensure product integrity
  • Verify and manage biosecurity directions in line with applicable protocols
  • Update batch details for incoming stock on internal ERP systems (e.g., AX)
  • Coordinate stock release (local and imported) based on test results, C of As, and biosecurity clearance
  • Flag and escalate non-compliant products as per Product Information Forms (PIF)
  • Mark items for further testing in AX (e.g., allergens, OC/OP, FICA, Microbiology) and notify stakeholders of out-of-spec results
  • Issue Test Sheets for warehouse teams (e.g., RD Warehouse – Australia)
  • Coordinate with AU-based QA teams and warehouses on inspection schedules (per TD164)
  • Liaise with Australian testing laboratories for results and turnaround updates
  • Generate and issue C of A documents to customers using internal templates/tools
  • Assist with maintaining and reviewing ISO / HACCP / Safety procedures to ensure ongoing compliance with company standards

Qualifications:

  • Minimum 2 years of experience in a quality admin, QA, or compliance support role, ideally in the food, FMCG, or manufacturing industry
  • Strong understanding of ISO, HACCP, and safety protocols
  • Proficient in Microsoft Office Suite, particularly Excel (mandatory)
  • Familiarity with ERP systems like AX or similar platforms is a plus
  • Excellent attention to detail, data accuracy, and time management
  • Strong written and verbal communication skills to interact with suppliers, labs, and internal teams
  • Ability to manage multiple tasks in a fast-paced environment while maintaining compliance and documentation accuracy
